Audit log
The audit log shows who did what in your environment. It is available on the Pro, Business, Agency and Enterprise plans for users with the role admin or owner. A sub-account of an agency follows that agency’s plan.
What you see
A list of events with:
- When it happened (relative date, hover over it for the exact time)
- Who did it (email address, or “System” for automatic actions)
- Which action (e.g.
device_renamed,published_device,asset_deleted) - Type and Entity (the first eight characters of the ID) of the subject
- Details in an expandable panel (old value, new value, etc.)
Which actions are logged
| Category | Actions |
|---|---|
| Screens | created, renamed, deleted, published |
| Playlists | created, renamed, deleted |
| Content items | added, changed, deleted |
| Assets | uploaded, renamed, moved, deleted |
| Data sources | created, deleted |
| Users | invited, added, role changed, removed |
| Organisation | created, renamed, plan changed, brand changed, activated, deactivated |
| Administration | sub-account created (Agency), access by a gibeon.io superadmin |
Filtering
At the top of the page you choose a date range, action type or entity type. The list is filtered server-side.
Export to CSV
Click Download CSV at the top right. The file contains the current filter selection up to a maximum of 10,000 rows, with a UTF-8 BOM so Excel shows accents correctly. For larger exports, narrow the date range and download several times.
What is NOT in it
- The export action itself (otherwise you would get an audit row for every download)
- Pure metadata bumps (e.g. when a script only changes
updated_aton an asset without a real change)
Privacy
Email addresses of invited users are in the details column. Only admins and owners of your environment see this data in the audit log. The agency administrators of a sub-account and the gibeon.io team (for support) can read it too.
Retention
How long an event is kept depends on your plan:
- Free, Starter and Pro: 90 days
- Business and Agency: 365 days
- Enterprise: the period is in your contract, and is never shorter than 90 days
If you move to a plan with a shorter period, the nightly job deletes whatever is older than that period from the next night.
A sub-account follows the period of its agency. A nightly job deletes older events. On Free and Starter we also keep 90 days, so you see that period again after an upgrade.
