Microsoft Excel integration
The Excel integration reads data from a workbook on OneDrive or SharePoint through the Microsoft Graph API. Once it is set up, your screen refreshes automatically every 15 minutes with the latest values from your workbook. No Power BI licence needed, no intermediate scripts, no manual uploads.
What the integration does
- Reads one cell, one row, a list of rows or a whole tab
- Refreshes every 15 minutes, or right away with Sync now
- Works offline on the players: the last value stays visible for 24 to 72 hours during an internet outage
- Supports private workbooks through Microsoft 365 OAuth, no public share link needed
- Applies templating through the gibeon.io template engine, the same one used for property and menu templates
- Respects your Azure AD Conditional Access policies and tenant permissions
Requirements
- A gibeon.io account, the free tier is enough
- A Microsoft 365 / Office 365 account with access to the workbook
- A workbook on OneDrive for Business or SharePoint Online
- For row presets: column headers in row 1
Create the integration
- Sign in to app.gibeon.io.
- Go to Design › Data and click New source.
- Choose the Microsoft Excel source.
- Use the button that connects with Microsoft and sign in with your 365 account. Grant read access to the workbooks you select explicitly. You do not need to register an Azure app. The gibeon.io app has already been approved by Microsoft.
- Choose the workbook, the tab and the cell or range.
- Choose a preset:
- Big KPI for one cell as a large number
- One row as a card for a row in a template layout
- Rotating list for several rows that rotate
- Table view for the whole tab
- Dashboard grid for a 2×2, 3×2 or 4×3 layout with several KPIs
- Save and drag the data source onto a playlist or screen.
The first sync starts automatically and is usually done within 30 to 60 seconds for workbooks up to 10 MB.
Presets
Big KPI: one cell as a large number
Shows one cell as one large number, optionally with a label and conditional colors. For production output, daily revenue, waiting time, OEE score, stock.
Configuration:
- Cell reference: for example
Production!B5orSales!E12 - Label (optional): for example “Production today”, “Revenue MTD”
- Conditional colors (optional): threshold values for green, orange and red
- Target value (optional): shown next to the number with a percentage comparison
One row as a card
Shows one selected row as a card with your template. For “team leader of the day”, “current order”, “current fault report”.
Configuration:
- Row selection: the cell reference that holds the active row (for example an Excel named range or a cell with a formula)
- Template: drag-and-drop layout builder
- Field mapping: which column of the row you bind to which template field
Rotating list
Runs through all rows in a range, X seconds per row, each row in your template. For open orders with customer name and deadline, running projects with their status, leaderboards.
Configuration:
- Row range: for example
Orders!A2:F50 - Filter (optional): for example “only rows where column E = ‘open’”
- Time per row: 5 to 30 seconds, default 10
- Template: the same drag-and-drop as the card preset
Table view
Shows a whole tab as a readable table: bold headers, generous padding, alternating row colors. For production planning, stock overviews, shift schedules.
Configuration:
- Tab name: for example “Planning week 22”
- Columns to show: choose which columns appear on the screen (handy for hiding columns with formulas or metadata)
- Sorting: optional sort field
Dashboard grid
Arranges several KPIs side by side in a grid. For sales dashboards, finance dashboards, executive dashboards.
Configuration:
- Grid: 2×2 (4 tiles), 3×2 (6 tiles), 4×3 (12 tiles), or a free layout
- Per tile: cell reference + label + optional target + conditional colors
- Date label (optional): for example “MTD up to Monday”, calculated automatically
Conditional formatting and charts
Excel’s own conditional formatting and charts are not carried over one to one. We read the calculated cell value, not the visual formatting. To get the same effect:
- For conditional colors: use our threshold values on the big KPI or dashboard preset
- For charts: use the cell values in our template engine; line and bar charts arrive early in Q3 2026
Refresh frequency
Every 15 minutes by default. Trigger it manually with Sync now in the gibeon.io CMS. The Pro tier supports a 5-minute sync for real-time production and sales dashboards.
During an internet outage, the last fetched value stays visible for 24 to 72 hours in the cache. A broken connection is shown at the top of the screen with a small “cache” indicator.
Permissions and security
We use delegated permissions through the Microsoft Graph API with the Files.Read.All scope on the workbooks you select explicitly. No write permissions. No access to other workbooks or OneDrive folders than the ones you choose explicitly.
A user who has no access to a workbook does not get it on the screen through gibeon.io either. Conditional Access policies (MFA, IP restrictions) keep applying. We add no detours.
Limits
- Workbooks larger than 100 MB do not work reliably: Microsoft Graph limits the file size for real-time reading
- Local .xlsx files that are never on OneDrive or SharePoint are not supported
- Excel macros (VBA) are not run: we read the stored values, not macros
- For real-time PLC data, we recommend putting an MES or historian tool between your PLC and Excel
Troubleshooting
”Workbook not found” after connecting
The user who went through the OAuth flow may not have access to the workbook. Check whether the user can open the workbook in Excel Online. If that does not work, gibeon.io will not work either.
Numbers are an hour old on the wall TV
The workbook may sit on a SharePoint site larger than 100 MB that syncs slowly on the Microsoft side. Move critical workbooks to a OneDrive for Business location or a lighter SharePoint library.
Formulas do not calculate
We read the stored value. If Excel has not calculated the formula before you save the file, we read an empty field or a #NAME? error. Force an Excel recalculation with F9 and save before you expect us to read the value.
